Office/Program Manager

Full Job Description
The Gestalt Institute of Cleveland (GIC) is seeking a dedicated, organized, thoughtful and proactive Office and Program Manager. This position will report to the Executive Director and will be responsible for providing effective office management, program management, and communications support to ensure the GIC’s efficient and smooth operations.  

This is position will be afforded the flexibility of hybrid work; however, when programs and events are being held at our site in Cleveland, the Office and Program Manager will be required to be on-site to support the faculty and students. This will include some weekends and evenings. 

What You’ll Be Working On:

Office Management:
·       Provide administrative, office and IT-related support for the Executive Director, leadership, and faculty, including general word processing, creating spreadsheets and slide presentations
·       Identify opportunities for process improvements; design and implement new processes, procedures and filing systems to improve overall office operations 
·       Oversee office facilities including planning systems, layouts, and equipment; maintain office supplies; and coordinate with site management for any necessary repairs, maintenance, technical issues, security, etc. 
·       Design and implement site policies by establishing standards and procedures
·       Manage general electronic and written correspondence, as well as phone calls and voicemails 

Program Management:
·       Liaise effectively with leadership, faculty, students and other stakeholders to ensure efficient execution of programs from marketing and program registration through program completion and record keeping
·       Design and implement new processes, procedures and systems to improve program management 
·       Collect and analyze data related to programs (e.g., course evaluations), and provide quantitative and qualitative insights to the Executive Director
·       Maintain the GIC’s programs and events calendar 
·       Manage basic accounting and financial transactions, include accounts payable and receivables for programs 

Communications:
·       Represent the GIC and its values while serv as both the on-site ambassador and first point of contact for new and existing community members
·       Create, advise, manage, and maintain GIC communications and various media; these include mail and emails plus distribution lists, newsletters and other forms of communications, social media, website, etc.
·       Identify opportunities to improve internal and external communications to further promote the GIC and its offerings
·       Collect and analyze data related to communications platforms (e.g., website traffic statistics), and provide to the Executive Director

Desired Skills and Abilities:
·       High school diploma or equivalent. Bachelor’s Degree in Business Administration, Operations or Communications (or similar) preferred
·       3+ years prior experience as an administrative, operational or coordinator role
·       Strong program/project management and process improvement skills
·       Excellent communication skills and ability to interact effectively with diverse stakeholders (Faculty, Board members, Staff, Students, etc.) 
·       Organized and detail-oriented with an ability to deliver high-quality work with tight deadlines 
·       Proficient with MS Outlook/Office and online productivity & communication tools. A commitment to excellence with ability to pivot as needed for tasks and projects 
·       Proactive; take ownership of role; multitask and prioritize effectively 
·       Extensive experience with time management tools (calendars, meeting coordination, and conferencing) 
·       Prior experience working as a program/project manager and/or training coordinator preferred
