POSITION SUMMARY
Under the direction of the Chief Program Officer, the Data Manager is responsible for all data management including collection, analysis, visualization, reporting, and communication. The Data Manager will work closely with the Chief Program Officer and the Schubert Center for Child Studies at Case Western Reserve University to ensure program quality and measure impact.
ESSENTIAL FUNCTIONS
- Data Management:
- Manages the data for the company’s four core program areas: afterschool, summer, family, and scholar trips.
- Establishes data baselines and collection methods to track the progress of each scholar within year and year over year.
- Leads the planning and delivery of effective staff data trainings.
- Works with the district data teams to guarantee the quality of the data we receive.
- Implements student and family progress assessments, including refinement of instruments and alignment to logic models.
- Holds regular meetings with key data personnel at each of our partner districts.
- Collaborates with the Advancement Department on grants and goal alignment.
- Enters scholar and performance data into prescribed software systems.
- Identifies specific data to be collected and analyzed for reporting purposes
- Identifies appropriate primary and secondary data resources to showcase organizational needs and areas of strength across programs, including, but not limited to Census data, school district and school-specific data, and internal company metrics.
- Develops data collection policies and procedures considering such factors as relevancy and usage.
- Works with appropriate programming department leadership to implement data collection procedures and helps to ensure that proper procedures are followed.
- Establishes data quality standards and works with staff to ensure established standards are achieved.
- Supports staff with the collection of data and provides direct assistance to help resolve problems.
- Utilizes staff feedback to make improvements to the data collection process.
- Assists Operations with scholar enrollment management.
- Data System Management
- Works with CPO and CFO on negotiating the contract with data collection software vendors.
- Serves as point of contact with data collection software vendors.
- Serves as the Company’s expert resource in the operation of the data software system.
- Develops format for collected data to ensure ease of usage.
- Data analysis and visualization
- Maintains the programming dashboard and communicates regularly with the CPO and the programming team on progress towards programming department goals.
- Collaborates with the CPO and the Schubert Center to design studies, analyze and visualize data to determine within year and year-over-year impact.
- Supports the implementation of the strategic plan and Company dashboard.
- Data reporting
- Serves as a liaison between the Director of COSA, the 21st CCLC grant evaluator, and the Schubert Center to ensure 21st CCLC reports are completed.
- Ensures compliance with privacy laws and standards for the use and reporting of data.
- Prepares monthly, quarterly, and annual data reports as assigned.
- Prepares grant reports as assigned.
- Develops unique data reports as needed.
- Presents data at meetings when requested.
- Develops and maintains access to the company’s data management system.
- Submits data to local, state, and federal agencies as directed.

- Serves as a liaison between the leadership and program staff, scholars, and families.

- Works closely with ODA’s community partners and volunteers to ensure a high-quality experience for scholars.
- Maintains up-to-date knowledge around emerging program trends.
- Effectively collaborates with staff to manage and document parent fee collection, staff timesheets, attendance, participation, and CRM information.
- Administers the approved budget for assigned areas of responsibility.
- Prepares and maintains accurate records. Submits required paperwork on time.
- Assists with other Programming Department initiatives as necessary.
- Attends ODA events and programs to support scholars as necessary
- Prepare event registration support for programming events as necessary

SKILLS & ABILITIES
Education:
- Bachelor’s degree in computer science, computer engineering, mathematics, statistics, or other science-related field required.
- Master’s Degree preferred.
Experience:
- Experience in a non-profit setting highly desirable.
- At least 2 years of working experience in data management, data analysis, or other data administration functions including collection and distribution.
- At least 2 years of experience collecting and managing primary and secondary data sets for the purposes of reporting and analytics.
- Experience in an educational organization highly desirable.
- Strong systems management experience
Technical Skills:
- Proficient in Microsoft Office Suite, with a high degree of proficiency in Excel in particular
- Proficient in Power BI or similar data visualization software
- Strong data analysis and visualization skills
- Strong organizational and communication skills
